Privacy and Communication While Providing Customer Service

Staff and Student information is not be shared to anyone outside our immediate department (inquiries in person, by phone or email/text by students or members of the public).

While we seek to be a friendly and welcoming environment, and provide helpful service, please keep in mind the importance of keeping certain information private such as the reason for absences, specific scheduling, or personal contact information. If in doubt, please seek the guidance of your coordinator/manager.


Student information: we do not disclose any information about students to those inquiring, including as basic information as “is John Doe a student?”

 Examples:

“I’m John’s mother. Can you tell me if he has been meeting with a tutor? I’m very worried that he is failing”.

We can say “Here’s our information about tutoring and how to book an appointment”.

If pressed, you can state that “student information can only be disclosed with the consent of the student”.


 Employee information: we do not disclose information or whereabouts of individuals including student employees. 

 Examples:

“Is Jason working today?”

Not appropriate: “He’s on vacation out of the country this week”.

Instead “He’s not available. Can I take a message for him?”

“When is the next time Sarah will be working at the desk?

Not appropriate: “Sarah will be working Saturday night”.

Instead “I can help you now.” Or “Can I take a message for her?”

 

“I was supposed to meet with Kat today after work, but I lost her number. Do you, have it?“

Not appropriate: “here’s her cell number”

Instead “I can take a message for her”  

 

“When does Timm get in?”

Not appropriate: “He takes the 123 Bus from downtown, so he’s usually in at 8:45am.”

Instead “Can I take a message for him?”
