Reminders and tips for working at the CIRC desk

Remember to look at the screen when signing material in and out

  • Verify student name is same as on student card
  • Ensure transaction completes without any alerts or warnings
  • Make sure due date on computer matches date due stamp
  • If renewing an account, confirm contact info before renewing

Watch for NOTES or ALERTS when signing material in or out

  • READ notes or alerts before completing task
  • Refer to supervisor or library technician if assistance is needed or notes are outdated

ALWAYS print screen for library techs which will include student’s name and id number and add notes on print out to indicate:

  • If an item returned was lost or missing
  • Patron account or item information is incorrect

TOYS: each student needs to be told each time they take out a toy (KINGSTON ONLY):

  • they are responsible for all the pieces,
  • they must notify us within 24 hours of signing the toy out if the toy is incomplete (recommend counting the pieces before leaving the library)
  • the sheet is to be returned with the toy and
  • the date the toy is due back
  • if it is a puzzle (400 range of numbers) they will be responsible for full replacement cost of the toy if pieces are lost or broken
  • count toy pieces carefully when toy is being returned, check condition of pieces as well
  • initial beside date returned stamp after toy has been returned
  • If toy/toy bag is returned smelling (ie: smoke) please give to Dom for cleaning

RESERVES: when borrowing a reserve item, students need to be given the following information EVERYTIME:

  • 3 hours loans are not to be taken home overnight but can leave the library
  • Clearly tell them the time the item is due back and write time beside due date
  • No overnight loans

RESERVE general info for staff:

  • Notes made to student accounts regarding reserve loans are to be made by the library techs
  • Hand out reserve bookmark for all overnight reserve loans and if you think the student did not fully understand the 3-hour loan rules then the bookmark can be handed out then as well
  • Reserve items cannot be taken to the photocopiers unless signed out at the circ desk

GENERAL COLLECTION AND CIRC DESK STUFF

  • If circ desk is quiet and library tech approves, bursary students can tidy/straighten shelves, do a pickup of books left  loose in the collection for an in-house count, shelf read children’s collection or a specific call number range
  • Bursary students are not to do homework or play games on circ desk computer
  • Bursary students should not be reading at circ desk
  • Evening routines should always include shelving, filling paper trays in printers, gate counts, tidying computer chairs and putting away cash before close
  • Bursary students working evening shifts cannot leave five minutes to nine to catch a bus unless there are no students/patrons left in the library
  • Patrons/students can stay up until 9:00pm when we close; do not rush them out for your convenience
  • When shelving, if you do not know where to shelve an item then bring it back to the circ desk and ask a library tech
  • We do not monitor hours or questions regarding the Math and Writing Centre.  The most we should do is provide their contact info to the students, if they are not available. Email: ASC@sl.on.ca
  • We can renew items without student cards as long as the person can supply their student id # or has picture id
  • Make sure to mark down the amount of facilitative/ reference questions you receive in your shift
    • Facilitative example - "How do I photocopy?" or "How do I book a study room?"
    • Reference example - anything that involves you looking something up like reserves or a book in the catalogue
  • Every hour or when indicated, do a head count (also a good time to see if patrons are following policies)

    • group study rooms - total number of patrons in total using all of the rooms
